Attendance is mandatory for the AGM. Please arrange to send someone to represent your family. This meeting with discuss the financial statement from last season, review the budget for the next season and approve the executive board. The following board positions are required to be filled at the meeting:
Chair - Responsible for chairing meetings, overseeing club operations, liaising with community groups as a representative of the club, serves as a representative at the SwimBC AGM, supports board members in the operation of club business, takes the lead on discipline and disputes, files the gaming report in collaboration with the treasurer. Required to attend monthly meetings and may be combined with Director roles below.
Co-Chair - Chairs the meetings in the absence of the chair, responsible for overseeing coach contracts, works with the directors to ensure support for club business, supports and discipline or dispute situations, files for gaming events. Required to attend monthly meetings and may be combined with Director roles below.
Treasurer - responsible for processing monthly payments, updating financial statements, initiating payments for coaches and swim competitions, monitoring the budget and reporting updates to the board on a monthly basis. Required to attend monthly meeting and may be combined with Director roles below - but not recommended.
Registrar - responsible for registering the club with the provincial sport organization, registering swimmers with Swimming Canada, ensuring the Coaches are registered and connected to our club, registering any volunteers and officials with the club. Required to attend monthly meetings and report on the registration status of the club. May be combined with Director roles below.
Secretary - responsible to taking and distributing minutes from the monthly meetings, calling for agenda items and creating/distributing agendas prior to the monthly meetings. Secretary is also responsible to monitoring the club email and responding to requests for information. Required to attend monthly meetings and can be combined with Director roles below.
Additional Board Positions requested:
Director of Fundraising - responsible for oversee and communicating all details of fundraising initiatives such as the swim challenge, raffle, bottle drives, hot dog sales, and any other fundraising programs identified during the season. Director will provide regular updates at the board monthly meetings and can be combined with other positions noted above.
Direction of Sponsorship - responsible for sending out request for donations to service clubs, seeking sponsorship support from business in the community, and following up with thank you letters and other appreciation efforts. Director will provide regular updates at the board monthly meetings and can be combined with other positions noted above.
Director of Social Events - responsible for the planning, organization, and communication of all social events including potluck sessions and award ceremonies. Director will provide regular updates at the board monthly meetings and can be combined with other positions noted above.
Director of Marketing and Promotions - responsible for marketing and promotions of the clubs including the creation and promotion of materials, monitoring of the social media sites, updating the information board at the pool, and seeking out opportunities to share the successes of the club. Director will provide regular updates at the board monthly meetings and can be combined with other positions noted above.
